Overview of the Document Scanning / Imaging Process
Document Preparation.
Document Prepping - Often the largest costs involved in a scanning project centers around the document preparation process. It’s labor intensive and there’s no way to get around that.
A review of your documents should reveal how many paper clips, staples, tears/rips, folded/crump, mixed sizes, etc. are in your files, can help you gauge the cost and scope of work to be done.
Document Indexing
Feel like your filing systems are an unorganized version of the Library of Congress? The ability to locate one document in an image library that contains millions is where accurate document indexing comes in to play—and without it, you just might tear out your hair.
There are three basic methods of indexing, back-up file conversion, full text and template fields.
(1) Back-up Digital File Conversion indexing (simple index capture) is when documents are all captured but will be indexed or coded on a box level, rather than at document or folder level. You will be able to pull the records up but will need to page through the documents to find the exact part being sought after.
This is a low cost bulk simple index capture process that is for files that need to kept but do not anticipate accessing regularly. This solution is for customers with serious storage concerns (as well as disaster recovery requirements) while not as focused on ease of retrieval.
(2) Full Text indexing will allow you to locate a word or phrase that appears in the document. It is useful in any situation where non-structured documents are being stored for retrieval.
(3) Template Field indexing uses a set of pre-determined fields or categories that occur within each document. This approach is used when a category search is the fastest way to retrieve a document. For example, loan # and Borrower Name are two fields that a mortgage processor would use to store signed loan documents in their image library.
Time to Scan
After your documents are prepped, it’s time for the actual scanning to take place. Using good scanners that can handle varying paper sizes and weights, color backgrounds and other real world considerations will lead to high quality images and accurate data capture.
Most scanning systems today have processing software that can and compensate for these issues.
What to watch out for
Knowing how the scanned images will be used will help you in selecting the correct resolution and determining if you need black and white, grayscale or color images.
Documents being published to the Web should be compact to load faster; so a high resolution is not needed or noticeable.
The scanning process should be able to adjust the orientation of the image automatically. Paper files often have a mix of portrait and landscape documents—another real world headache. During many scanning projects there can be a considerable time savings in the document prep process if each form does not need to be handled and oriented properly.
