What if I need a file or document during the scanning process?
If you ever need a file or document during the scanning process just give us a call and we will search and find the desired document ,scan and the email or fax directly to you.
Do I need any special software to view my files?
Yes! You will need Adobe Acrobat Reader to view your PDF image files, which is available to anyone for download free of charge at www.adobe.com
How many pages fit on a CD or DVD?
One CD holds approximate 12,000-15,000 pages or 5 letter/legal size boxes or one 4 drawer filing cabinet. A DVD holds approximate 90,000 - 100,000 pages or 37 letter/legal size boxes.
Are my files secure with your company?
Yes, your files are kept safe and confidential on our site . We do not send any of your files or documents to any third party for processing, scanning or final shredding and destruction.
How do I know how many file boxes your company has received?
We'll take an inventory of all boxes, and then contact you with a inventory log sheet of all the boxes we have received, and we'll leave you with a copy and we have a copy. If we have to bring boxes back, for whatever reason, we will bring a new inventory sheet reflecting which boxes were returned and the log would be signed again. This way you know what documents we have and we will know in case you call for a particular file or document.
Can I add files that I might locate after the scanning process to my CD?
No. Once a CD or DVD is finalized, we can not add any other documents to it, but if requested we can save your files to our backup system, them add your new documents and replace your CD or DVD with a new copy for a small fee.
What are Scan Ready Documents?
Scan ready" means all the staples and other paper fasteners have been removed from the files, and the pages are not excessively wrinkled, torn or otherwise damaged. The pages are all oriented the same way (i.e.: all tops up) and facing the same way (if single sided). If the pages are of odd or mixed size, charges may apply for extra processing.
Your files should also be separated and labeled in a way that is logical to how you would store and access them normally. We will assign a file name based on the label on the physical folder, unless some other naming scheme has been planned.
What is PDF Searchable Text (OCR)
PDF Searchable Image is a PDF Image Only document with the addition of a text layer beneath the image. This approach inexpensively retains the look of the original page while enabling text searchability. This balanced approach is especially suitable for documents that have to be searchable but would be too expensive to recompose. The text layer is created by an Optical Character Recognition (OCR) application that scans the text on each page. It then creates a PDF file with the recognized text stored in a layer beneath the image of the text
What is PDF Image Only?
PDF Image Only is simply a scanned, non-searchable image of the page inside PDF wrappers.
Bond and liability Insurance?
At File 2 Disc we offer Bond and liability insurance upon pick-up of your documents. The insurance bond and liability remains in effect until the documents are returned to your location.
How many pages are in a banker box?
The following is typical for guesstimating paper collections where the box or drawer is full:
Standard Storage Box (10"x12"x15") - 2,000 - 3,000 Pages Per Box
Long Banker Boxes (10"x12"x24") - 4,000 - 5,000 Pages Per Box
Vertical File Cabinet - 4,000 - 5,000 Pages Per Drawer
Lateral File Cabinet - 6,000 - 7,000 Pages Per Drawer
