What is document scanning?
Document scanning is the procedure of using software and high-speed scanners to transfer an image on paper to a digital picture. The image can then be indexed and stored in a document storage system giving users the ability to navigate through many documents at great speed.
What if I want another copy of my document CD later?
File 2 Disc will be glad to provide additional CD copies for a nominal charge. You can order multiple copies of your CD at the time of scanning or at any subsequent time. File 2 Disc will retain a copy of your CD as a backup for three years as our standard policy (or longer upon request).
What storage/media options do I have?
File 2 Disc stores electronic documents on CD's or DVD's (upon request).
How long will my CD last?
The published shelf-life of CD's is up to 100 years, according to several sources. Both Sony Electronics and Hewlett Packard publish their CD-R (Compact Disc Recordable) specifications as tested "up to 100 years" archival life.
Will you provide printed labels for my CD's and cases?
File 2 Disc provides custom-designed CD label with light scribe technology.
How secure will my documents be at your site?
Your scanning project will be handled by professionals with expertise in document imaging. You can be assured of the careful and confidential handling of all your sensitive documents which are kept in our secure location. We have never lost or misplaced a client's file.
Do you return my documents or destroy them after creating CD's?
Both options are available. File 2 Disc will shred documents should you choose to destroy your documents once they are archived.
Should I buy a scanner or outsource my scanning?
Scanning in-house requires investment in software to save your scanned images to a viewable format. You will spend time and money for training your employee(s) on the software and hardware usage. Many companies find outsourcing their scanning to be more efficient. You save on the time and expense for setting up in-house scanning. Your work is done by professionals with expertise in document scanning and conversion.
What is "Scan ready?"
This means the paper document is prepared to be applied to the scanning equipment. The pages must be the same size, free of staples, clips, wrinkles, rips/tears, facing up right in the same direction ready for scanning.
Will there be a database devised in order for me to search my documents?
The organization will be better than expected. You will be able to search by keyword or part of a keyword. This will allow a user to search their documents with proficiency and alacrity.
What if I need a file or document during the scanning process?
If you ever need a file or document during the scanning process just give us a call and we will search and find the desired document ,scan and the email or fax directly to you free of charge.
Do I need any special software to view my files?
No! You will need Adobe Acrobat Reader to view your PDF image files, which is available to anyone for download free of charge at www.adobe.com
How many pages fit on a CD or DVD?
One CD holds approximate 15,000 - 20,000 pages or 7 standard size storage boxes. A DVD holds approximate 90,000 - 100,000 pages or 40 standard size size boxes. (Note depending on the dpi requirements the smaller the resolution the more pages/images can be stored)
What is Back-up File Conversion Indexing?
This solution is for customers with serious storage concerns (as well as disaster recovery requirements) while not as focused on ease of retrieval. Documents are all captured but will be indexed or coded on a box level, rather than at document or folder level.
How do I know how many file boxes your company has received?
We'll take an inventory of all boxes, and then contact you with a inventory log sheet of all the boxes we have received, and we'll leave you with a copy and we have a copy. If we have to bring boxes back, for whatever reason, we will bring a new inventory sheet reflecting which boxes were returned and the log would be signed again. This way you know what documents we have and we will know in case you call for a particular file or document.
Can I add files that I might locate after the scanning process to my CD?
No. Once a CD or DVD is finalized, we can not add any other documents to it, but if requested we can save your files to our backup system, them add your new documents and replace your CD or DVD with a new copy for a small fee.
What is PDF Searchable Text
PDF Searchable Image is a PDF Image Only document with the addition of a text layer beneath the image. This approach inexpensively retains the look of the original page while enabling text searchability. This balanced approach is especially suitable for documents that have to be searchable but would be too expensive to recompose. The text layer is created by an Optical Character Recognition (OCR) application that scans the text on each page. It then creates a PDF file with the recognized text stored in a layer beneath the image of the text
What is PDF Image Only?
PDF Image Only is simply a scanned, non-searchable image of the page inside PDF wrappers.
Bond and liability Insurance?
At File 2 Disc we offer Bond and liability insurance upon pick-up of your documents. The insurance bond and liability remains in effect until the documents are returned to your location.
